Only information necessary for coaching is collected (data minimization).

How Information Is Used

Information is used to:

• provide coaching services

• schedule sessions

• process payments

• maintain accurate business records

Information is never sold, rented, or used for advertising.

How Information Is Stored

Coaching notes and business records are stored securely using:

• Microsoft 365 (OneNote + OneDrive)

• SharePoint and Excel Online for business data

All systems use password protection and multi‑factor authentication.

Third‑Party Services

The following services support coaching operations:

• WIX for website forms

• Stripe/FLOAT for payment processing

• Zoom for video sessions

These services have their own privacy policies and security practices.

Confidentiality

Coaching conversations are confidential. Information is not shared without consent except in the following situations required by Ontario law:

• clear and immediate risk of harm to self or others

• suspected abuse of a minor or vulnerable person

• records required by court order or legal authority

Client Rights Under PIPEDA

Clients may request:

• access to their personal information

• corrections to inaccurate information

• deletion of non‑required records

Requests will be responded to within a reasonable timeframe.

Record Retention

Coaching records are retained in accordance with Ontario business requirements and ICF ethical guidelines.
